Who is responsible

Information you choose to share

When you make an enquiry, the studio may collect your name, contact details, organisation, project information, preferred date, location and indicative budget. The private owner CRM may also record enquiry status, notes, source page and follow-up actions.

How it is used

This information is used to assess your enquiry, respond, prepare a quotation and manage any resulting booking, artwork request or collaboration. It is held in the studio's enquiry system so the conversation can be followed up reliably. If you become a client, relevant information may also be used to deliver the agreed service, keep records and meet legal or accounting obligations.

Lawful basis

The studio normally uses enquiry information because it is necessary to take steps before entering into a contract, to deliver an agreed service, or because there is a legitimate interest in responding to business enquiries and keeping accurate records. Consent is requested on the form so that you clearly agree to being contacted about the enquiry you submit.

That enquiry consent is not treated as permission to receive general marketing. It is recorded so the studio can respond to the specific enquiry and keep an accurate record of the conversation.

Marketing

Submitting an enquiry does not add you to a general marketing list. Marketing updates, if introduced later, will use a separate opt-in or another lawful route where permitted.

If Studio Notes or product updates are introduced later, the sign-up wording, consent version, unsubscribe route and sending method will be reviewed before any public use.

Sharing and retention

Personal information is not sold. It may be shared with service providers only where they are needed to operate the website, fulfil a request, manage records or deliver an agreed service. These providers may include website hosting, CRM, email, payment, fulfilment or professional support services. Information is kept only for as long as it remains needed for the enquiry, relationship, record keeping or legal obligations.

Information connected to a live booking, order, licence, payment or legal obligation may need to be kept for longer than a general enquiry. The studio will keep the amount of information proportionate to the reason it is being retained.

International processing

Some technology providers may process information outside the UK. When that happens, the studio expects appropriate safeguards to be used where required by data protection law.

Your choices

You can ask what information the studio holds about you, request a correction, ask for deletion where applicable, object to certain uses or ask for processing to be restricted. Email salam@richardmacleod.com.

Complaints

Please contact the studio first so the issue can be addressed. You also have the right to raise a concern with the UK Information Commissioner's Office at ico.org.uk.
